Why This Build Is Different

Team collaborating on scalable architecture

Every other platform in the NexaVista portfolio was built for a single client to run their own business. Freshify is fundamentally different it is a SaaS product that NexaVista built from scratch, where any barbershop or salon can sign up, pay a monthly subscription, and get their own fully isolated management system running within the same platform. This is the architecture difference between building a house and building an apartment block.

  • Scale: add more subscribers indefinitely

The Challenge

The brief for Freshify was to build a platform that could serve the entire barbershop and salon category not one business, but any business in that vertical. That required solving a fundamentally harder set of technical and design problems than any single client build.

The core challenge was multi tenancy: every organization that signs up gets their own isolated environment their own staff, their own locations, their own calendar, their own clients, their own revenue data all running on the same underlying platform without any data leaking between organizations. At 25+ active organizations, this architecture needs to be bulletproof.

On top of the technical complexity, the platform had to serve businesses at very different scales from a single chair studio to a regional multi location chain with the same interface and the same subscription price. That flexibility had to be built into the architecture from day one, not bolted on later.

Key challenges:

  • Building a true multi tenant architecture where 25+ organizations share infrastructure but have completely isolated data
  • Serving businesses from single location sole traders to multi location chains with the same product
  • A consumer facing marketplace where end clients can discover and book any verified organization
  • Per organization subscription billing with Stripe, independent of individual appointment payments
  • Multi level user roles: Super Admin (NexaVista), Organization Owner, Location Admin, Professional (barber)
  • Per location working hours, availability editing, and real time slot generation
  • Google Calendar integration for professional availability sync
  • Per professional Stripe payout flow separate from the organization subscription
  • Analytics and reporting that is meaningful for both single and multi location operators
  • An embeddable booking widget that any organization can place on their own external website

What Was Built

Digital Operations Dashboard

Freshify is a three sided platform serving three distinct user types simultaneously: NexaVista as the super admin, barbershop/salon owners as organization operators, and end customers as booking users. Each side has its own complete feature set.

Swipe to explore

Side 1 Super Admin (NexaVista Control Layer)

Organization managementA super admin panel showing every organization registered on the platform as a table with quick access to view each organization's owner details, locations, users, calendar, services, and settings. NexaVista maintains full visibility across all 25+ tenants.
Plans & pricing managementA pricing control panel where NexaVista sets and updates the subscription price (currently $36/month) for the platform membership plan. Price changes propagate to all new subscribers.

Side 2 Organization Owner (Business Operations Layer)

Comprehensive business dashboardReal time overview showing Total Sales ($12,996 example), Average Sales ($75), Top Performer by revenue (Harry Patel $2,456, Thomas Hall $2,278), Weekly Sales chart comparing performance across locations (London vs Manchester), Popular Services ranked by order volume (Scissor Cut 1,360), Total Orders (2,256), Orders This Week (89), Orders Today (15), and All Locations by Users showing staff count per branch.
Multi location managementEach organization manages multiple named locations. Each location has its own: physical address, Google Places integration link, on site payment toggle, working hours configuration, and description. Locations can be added and removed independently.
Service managementA services catalog showing each service's name, location assignment, price, duration, and description. The 'Most Sold Service' stat card highlights the top performer by revenue and order volume. Services can be added, edited, and toggled per location.
Staff and user management (two tiers)Two user types per organization: Professionals (the barbers/stylists) tracked individually with sales performance, order count, and service assignments; and Admins assigned to specific locations to manage day to day operations. The top performer metric on the dashboard surfaces the highest revenue professional in real time.
Calendar with full appointment detailA date navigable calendar showing every appointment for any selected date displaying Customer Name, assigned Professional, Location, Price, Payment method (Not Paid / Paid in Cash / Paid Online), Date, Time, and Status (Scheduled / Completed / Cancelled). An 'Edit Availability' control lets the owner manage when staff members are bookable.
Stripe payout managementA dedicated payout module where the organization initiates payouts to professionals via Stripe. Each payout record shows professional name, amount, date, and time. Connected once via 'Connect Stripe' all subsequent payouts are managed within the platform.
Advanced settings controlOrganization level settings covering: Clients Advance Booking Time, Subscription Management (cancel, view Stripe invoices), Copy Booking Widget Code (embeddable on external websites), Time Restriction For Rescheduling/Cancellation, Email Notifications, Personal Info, and Delete Account.
Service analytics & reportingAnalytics showing the most sold service, total revenue per service, and order counts allowing owners to make data driven decisions about pricing, promotions, and staffing for their highest performing services.

Side 3 End Customer (Consumer Booking Layer)

Public marketplace 'Book A Service'A consumer facing directory where end customers browse all verified organizations on the platform. Filterable by location, price range, and service type. Each organization card shows: verification badge, starting price, popular service tags, and a Book Appointment CTA. Recommended organizations are surfaced based on activity.
5 step booking flowCustomers book through a clean 5 step flow: (1) Select a Location from the organization's branches, (2) Choose a Professional with availability shown as 'Today' or date specific, (3) Select Services with price and duration shown per item, (4) Select Date and Time from a real time availability calendar with Google Calendar sync option and available time slots displayed in 30 minute increments, (5) Order Summary with full booking details before confirmation. A persistent Order Summary sidebar updates at each step.
Verified organization discoveryOrganizations are marked as 'Verified' on the marketplace, building consumer trust. Multiple barbershops from real cities (Netherlands, UK, US) are active, making the marketplace a functioning discovery tool rather than a demo environment.

Key Technical Achievements

True multi tenant data isolation

25+ organizations share the same platform infrastructure but their data is completely isolated. An owner at one location cannot see, access, or affect any data at another. This architectural requirement is the most complex technical challenge in the entire NexaVista portfolio.

Three level user role system

Super Admin (NexaVista) → Organization Owner → Location Admin / Professional. Each role sees only the data and controls relevant to their level. A barber at one location cannot see another location's calendar or revenue.

Dual Stripe integration

Two completely separate Stripe flows coexist: (1) organization subscription billing at $36/month, and (2) per professional payout processing from appointment revenue. Both are managed within the same platform but serve entirely different financial purposes.

Embeddable booking widget

Each organization can copy a booking widget code from their settings and embed it on their own external website. A customer booking through an external site lands in the same Freshify booking flow extending the platform's reach beyond the marketplace.

Google Calendar sync

Professionals can connect their Google Calendar to the booking system, automatically blocking time slots that conflict with existing calendar events. This prevents double bookings across the professional's full schedule, not just Freshify appointments.

Real time multi location analytics

The dashboard aggregates data across all of an organization's locations in real time weekly sales by location, user counts per branch, and per professional performance giving multi location operators a single view of their entire business.

Configurable time restrictions

Organizations can set minimum advance booking time, reschedule/cancellation windows, and slot durations independently. These settings flow through to the consumer facing booking flow automatically.

Revenue Model What Freshify Earns NexaVista

Freshify is not just a case study it is an independent recurring revenue stream for NexaVista. Unlike custom builds which are project based, Freshify generates predictable monthly subscription income that compounds with every new organization that joins.

ScenarioMonthly MRRAnnual revenue
25 orgs (current)$900/month$10,800/year existing base
50 orgs$1,800/month$21,600/year

200 orgs$7,200/month$86,400/year realistic 12 month target
500 orgs$18,000/month$216,000/year category leadership

This is NexaVista's only productized, scalable revenue stream. Every other client engagement requires active work to earn. Freshify earns passively as long as organizations remain subscribed. Growing Freshify from 25 to 200 organizations is the highest leverage growth action in the entire NexaVista business model.

Why Freshify Matters for NexaVista

Freshify is the proof that NexaVista can build not just custom platforms, but scalable software products. Most agencies build for clients. NexaVista built a product that now operates independently, generates recurring revenue, and serves 25+ businesses simultaneously without any additional build time. That is a different capability entirely and it sits at the top of the portfolio.

Portfolio capstone

Freshify is the most technically complex build in the NexaVista portfolio. Multi tenant SaaS with three user tiers, dual Stripe integration, Google Calendar sync, and a consumer marketplace. Any prospect who sees this knows the agency can build anything in the service business space.

Independent revenue stream

While custom builds earn project revenue, Freshify earns $36/month per organization with zero ongoing build time. As subscriber count grows, revenue compounds. This is the only NexaVista offering with true passive income characteristics.

Market validation

25+ paying organizations from multiple countries Netherlands, UK, US validated that barbers and salons will pay for this product. That market validation is useful in every NexaVista sales conversation: real businesses are paying real money for platforms like this.

Category authority

Building and operating a SaaS product in the barbershop/salon space gives NexaVista first hand intelligence about what service businesses actually need from software. That intelligence flows directly into every custom build conversation.
